Królewskie Ogrody
An extensive digital platform connected a new website and store with a dedicated CRM reflecting complex sales rules, organisational structures and monthly settlements.
From spreadsheets and manual processes to one system
Królewskie Ogrody needed a solution that could present the offer, sell products and support a multilevel cooperation model at the same time. Existing spreadsheets, pricing matrices, points calculations, regulations and administrative routines were carefully analysed. The result was a new website, online store and dedicated CRM with separate customer and administration panels.
The system distinguishes retail customers, prosumers, cooperative members and administrative roles. Each group receives the correct pricing, content, navigation and functionality. Customer accounts contain orders, addresses, communication and settlement information, while the prosumer area presents structures, points, activity conditions and monthly summaries.

The most demanding part was the multilevel prosumer logic. Registration with a code assigns a person to the correct supervisor, while purchases can generate points across several levels. The system checks activity conditions, distributes values according to the product matrix, handles unused points and gives administrators and users a clear explanation of every result.
The finance module records net values and related VAT, recognises different ways of using points and supports monthly settlements between prosumers, branches and the central organisation. Automated reports and summary messages reduce manual work. Clear notifications communicate debt, activity conditions and temporary restrictions whenever relevant.
Role based commerce and an extensive administration layer
The store supports individual product pricing rules, codes, discounts, payments, side and main carts, multiple currencies and country specific product availability. Technologies and industrial products without a public price can be presented through an enquiry journey. Product data, delivery, parcel locker and external system integrations organise information flow.
Administrators received manageable pages, navigation, roles, content permissions, inventory, reports and control tools. The project demonstrates how ecommerce can be combined with a dedicated CRM when standard software cannot represent the business model. Instead of simplifying the organisation, the technology was adapted to its real processes and prepared for continued development.
